Client Care Assistant

Job Description

Atlas Counseling is a thriving Seattle-based counseling practice focused on promoting child, adolescent, and family wellness. We are currently seeking a part time administrative assistant to assist in daily operations and help keep our practice organized. This is a hybrid remote/in office position where you will be expected to work from the  office space a minimum of 1 day per week. Our ideal candidate will be motivated, friendly, detail-oriented, and open to working 15 hours per week with the opportunity to increase hours in the future.

  • Comfortable talking with new people
  • Excellent organization and time management skills
  • Confidence to work independently coupled with openness to constructive feedback
  • “Tech savvy” with Google Workspace, Quickbooks, and project management software
  • The ability to think on your feet and problem-solve without explicit guidance

What We Prefer

  • Prior experience as an administrative assistant
  • Prior experience with filing and Quickbooks
  • Prior training in HIPAA and/or empathic listening
  • Willingness to jump in and help where you can

Potential Job Responsibilities

  • Maintaining a virtual filing system
  • Working In Quickbooks to attach receipts to transactions
  • Managing paperwork and data entry tasks
  • Sorting mail, shredding documents and other tasks from the physical office
  • Answering and returning client phone calls and emails
  • Entering client data into the electronic health record and auditing files to make sure client paperwork is up to date
  • Meeting regularly with the Associate Operations Director
  • Willingness to learn and take on new tasks as the role evolves
  • Providing general support to the operations team
